Privacy

The Digital Phantom Media Group ("we", "us") is based in Auckland, New Zealand. We collect and hold your personal information, and we follow the Privacy Act 2020. This page explains what we collect, why, who we share it with, and what you can do about it.

What we collect

  • When you download a guide or join a waitlist: your first name, email address and any answers you choose to give on the form (for example your role or the ad platform you use).
  • When you enquire about or book an AI Assessment: your name, email, company and role, plus what you tell us about your business in emails, forms and calls. We may record calls so we can take accurate notes, and we always tell you before a call is recorded.
  • When you buy from us: your name, email and billing details. Payments are handled by our payment provider (Stripe), so we never see or store your full card number.
  • When you visit the site: technical data such as your IP address, browser, device and the pages you view, collected through cookies by Google Analytics and the Meta pixel.

Giving us your details is your choice. Without an email address we can't send you a guide or reply to an enquiry.

Why we use it

  • To send you what you asked for, plus a few related emails and launch news for products you've joined the waitlist for.
  • To reply to enquiries and to run any AI Assessment or other work you engage us for.
  • To take payments and keep the business and tax records the law requires.
  • To understand how the site is used and measure our own advertising.

We don't sell your details, and we only use them for the reasons above or ones you'd reasonably expect.

Who we share it with

Only the service providers that help us run the business: GoHighLevel (email and CRM), Google Analytics and Meta (site analytics and ad measurement), Stripe (payments), Fathom (call recording and notes) and the AI tools we use to prepare assessment work. They may only use your information to provide their service to us. We may also disclose information if the law requires it.

Information sent overseas

Several of these providers store data outside New Zealand, mainly in the United States. We choose providers that protect personal information in a way comparable to New Zealand law.

Cookies

You can block or delete cookies in your browser settings, and opt out of Google Analytics with Google's opt-out browser add-on. The site still works without them.

Keeping it safe

We use reputable providers, strong passwords and two-factor sign-in on our key accounts, and we limit access to your information to the people who need it to do the work.

How long we keep it

Email list details stay until you unsubscribe or ask us to delete them. Assessment notes and recordings are kept while we work together and for a reasonable time after. Payment records are kept for seven years, as New Zealand tax law requires.

Your rights

Unsubscribe from any email with one click. You can ask to see the information we hold about you, ask us to correct it, or ask us to delete it. Email us using this link and we'll reply within 20 working days. If you're unhappy with how we've handled your information, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.

Our pages may link to other sites. We don't control them, and their own privacy policies apply.

Changes to this policy

We may update this page from time to time. The date at the top shows when it last changed.
